Human Resources Assistant
Location: Long Island, NY | Monday–Friday, 9 AM – 6 PM (with flexibility)

We are representing a very well-known and respected corporation based in Long Island, NY , in their search for a highly organized and professional Human Resources Assistant . This trusted individual will play a critical role in supporting the private family office, ensuring smooth coordination of both corporate and domestic operations.
This is a unique opportunity to work behind the scenes with an elite household and executive team—ideal for someone who thrives in a fast-paced, high-responsibility environment and brings a discreet, proactive, and detail-oriented approach to everything they do.
Key Responsibilities:
Payroll & HR Administration
Process payroll for household and administrative staff with accuracy and discretion
Prepare offer letters, employment contracts, and onboarding documents
Maintain personnel records and ensure compliance with employment policies
Scheduling & Calendar Management
Coordinate detailed calendars for the family and household staff
Schedule meetings, appointments, personal engagements, and travel arrangements
Serve as a central point of communication across the household and family office
Administrative & Financial Support
Manage household and office budgets, track expenses, and process vendor payments
Maintain organized records of important family documents and contracts
Liaise with external advisors including legal, accounting, and service providers
Household Operations Oversight
Support hiring, training, and scheduling of household staff
Act as the main point of contact for vendors and maintenance professionals
Ensure smooth day-to-day household operations
Special Projects & Event Support
Assist with planning and coordinating private events or gatherings
Manage ad hoc tasks and personal requests as needed
Qualifications:
Bachelor's degree or equivalent experience in HR, administration, or household operations
Prior experience supporting a family office, executive household, or high-level corporate team
Strong organizational and multitasking skills with a calm, solutions-oriented approach
Proficiency in Microsoft Office and payroll software
Excellent communication skills and a high level of discretion and professionalism
Flexible, reliable, and comfortable managing competing priorities
